The Role: Logistics Coordinator (Transportation & Distribution and Third Party Logistics (3PL))

Your Day-to-Day:
Main Responsibilities
Transportation & Distribution:
- Understand different equipment types in handling the related transaction and industry regulations for equipment types
- Solid knowledge and experience in selecting carriers/brokers for the business and ability to accurately measure the performance of these carriers/brokers
- Coordinate all inbound and outbound transportation to ensure that orders are delivered on schedule.
- Develop the configuration on truck loading to accurately maximize the space when booking the truck(s)
- Validate shipment information (weight, dimension, special requirement, etc.) prior to truck-booking and obtain clarification from sales and support teams as necessary
- Send releases to 3PL for outbound shipment, arrange transport and appointment confirmation, collect picking note/BOL, audit, track shipment to destination, retrieve POD, and update system
- Prepare and submit customs paper for cross-border shipment
- Proactively pursue alternative, better, and more cost-effective routing and/or equipment type to bring the most economical, reliable and efficient service
- Negotiate freight cost and monitor market and economy trends to understand the impact to freight costs
- Prepare freight quotations in response to inquiries from internal and external customers
- Proactively follow up on shipments with common carriers and provide regular updates to internal Company staff as appropriate
- Provide customer service both internally and externally through continuous follow-up, effective responses to requests, inquiries, concerns, and proactive measures, in order to ensure a smooth and timely process for the shipments
- Maintain freight database with up-to-date information on quotes, contacts and carrier insurances
- Send complete transport order to common carriers to book the freight
- Maintain/Update additional costs in our system
- Use ERP system to manage the day-to-day transactions of transportation and distribution
- Audit, correct and adjust freight invoices
- Develop contacts with new carriers and open up business with new carriers
Third Party Warehousing:
- Work closely with 3PLs and common carriers to arrange inbound & outbound shipment
- Proactively manage container status for stocking loads
- Collect and verify inbound and outbound documentation, address issues upon receiving and process accurately in the system
- Communicate clearly to internal stakeholders on container arrivals, as required
- Effectively and accurately handle the stock transfer among different stock branches in the system and with each 3PL for transferring physical products
- Accurately and completely ensure all paperwork flow for in/out and transfers
- Build rapport with 3PLs to strengthen business relationships and help to resolve issues with timely and effective communication
- Ensure all 3PLs meet our Company requirements for proper bundle packaging/handling and storing of material to avoid damage and possible collapsing
- Help to reconcile any inventory issue, using acquired knowledge and experience
CREDIT
- Ensure customers have appropriate credit before authorizing any truck-load delivery
- Work with management and with a sense of urgency to arrange for alternative plans as appropriate if customer is out of credit
Documentation, Reporting and Administration
- Maintain positive interactions to ensure customer satisfaction (both internally and externally) through regular follow-up, effective responses to requests/ inquiries/ concerns, and proactive measures that ensure a smooth and timely process for all orders
- Effectively organize, plan and prioritize work to properly complete responsibilities and meet required deadlines
- Maintain, update and customize department reports as applicable
- Exercise flexibility with respect to duties assigned and when communicating with and/or supporting colleagues and customers in different time zones
- Support the business through participation and/or identifying and leading process and workflow improvement initiatives and special projects that may arise from time to time
- Understand, support and adhere to the company’s health and safety policies, programs and procedures, and all Company policies as applicable
- Fulfill general administrative duties such as preparing packages for courier, filing, faxing, photocopying, and processing etc.,
What do you need to succeed?
Must-Have
- Over five (5) years of relevant experience in a similar environment
- Adept with technology, including ERP systems, and advanced level of experience with Microsoft 365 applications, particularly Excel and Word
- Well-developed negotiation skills
- Excellent communication skills (oral and business writing)
- Proven ability to prioritize tasks and meet deadlines in an environment of shifting priorities
- Attentive to detail
- Good analytical and problem-solving skills
- Proven ability to understand when escalation of problems/issues need to be taken to a senior management level
- Possess the ability to identify issues/areas for improvement and develop cost-effective solutions
- Commitment to strong performance (accuracy, thoroughness and high-quality output)
- Committed and supportive team player will effective collaboration skills
- Strong work ethic and positive attitude, particularly when dealing with complex issues and under pressure
- Strives to exceed expectations and requirements of colleagues and management
Nice-to-Have
- Relevant industry experience
- Completion of post-secondary education in a related field (Supply Chain, Logistics etc.)
- Hands-on experience with Epicor BisTrack or a similar ERP system
